Prof. Khadimally CHAPTER-4: Management Processes : Assignment Questions Write an evaluation & justification for correct answers, you may differ but then explain: Justification here: C) According to PMI, the process of Initiating helps to set the vision of what is to be accomplished. This is where the project is formally authorized by the sponsor, initial scope defined, and stakeholders identified. Stakeholder identification is crucial here because correct identification (and subsequent management) of stakeholders can literally make or break the project. This process group is performed so that projects and programs are not only sanctioned by a sponsoring entity, but also so that projects are aligned with the strategic objectives of the organization. Where this is not performed, projects may be started and carried out haphazardly, with no real stated goal or objective. Jones School of Business It should also be noted that management chooses and authorizes the project manager here. It's crucial to authorize and establish the PM early as project managers often have accountability but little authority. Strictly speaking, if you don't formally authorize a project. https://projectmanagementacademy.net/articles/five-traditional-process-groups/ The initiating process group involves the processes, activities, and skills needed to effectively define the beginning of a project. Setting all permits, authorizations, and initial work orders in place to secure an effective and logical progression of initial project activities sets the stage for subsequent success throughout all project phases. Setting clear phases for work to be completed, initializing teams, and having the budget in place before work begins are vital for a strong start to any project across industry. https://www.villanovau.com/resources/project-management/pmbok-project-management-process-groups/ Justification here : C ) 1st Output of Validate Scope Process The first output is Accepted deliverables. If the deliverable has been produced as per requirements and the customer approves this, deliverables are accepted by the customer. 2nd Output of Validate Scope Process The second output is the change requests. Deliverables might have met all requirements agreed in the beginning. The customer might come with new requirements since he sees a working deliverable now. These new requirements are initiated with a change request. If change requests are approved by the change control board, then the change request can be implemented by the project team. The 3rd Output of Validate Scope Process Another output can be defects. If the deliverables do not meet the agreed requirements, they need to be fixed by the project team, and customer needs to check the deliverable again after the fixes. Other Outputs of Validate Scope Process Project document updates and work performance information are other outputs of the validate scope process. After deliverables are completed and accepted, project documents must be updated and also accepted deliverables must be marked in the project documents. The work performance information about the deliverable Page 2 of 9 Assignement-2 / Thu – 09/12/19: MIS. 683-01 –CRN-11259: CAPM : Fall-2019 This study source was downloaded by 100000773243632 from CourseHero.com on 09-24-2022 02:56:10 GMT -05:00 https://www.coursehero.com/file/49963508/Assignment-2-MIS-SOdoc/ TEXAS SOUTHERN UNIVERSITY Jesse H. Jones School of Business must be updated as well. For instance, whether it meet the budget forecast, schedule forecast, quality requirements. https://blog.masterofproject.com/validate-scope-process/ Justification here : A) The Initiating Process Group consists of those processes performed to define a new project or a new phase of an existing project by obtaining authorization to start the project or phase. Within the Initiating processes, the initial scope is defined and initial financial resources are committed. Internal and external stakeholders who will interact and influence the overall outcome of the project are identified. If not already assigned, the project manager will be selected. This information is captured in the project charter and stakeholder register. When the project charter is approved, the project becomes officially authorized. Although the project management team may help write the project charter. The Initiating Process Group consists of those processes performed to define a new project or a new phase of an existing project by obtaining authorization to start the project or phase. The key purpose of this process group is to align the stakeholders' expectations with the project's purpose, give them visibility about the scope and objectives, show how their participation in the project and its associated phases can ensure that their expectations are achieved. https://pmp-certification-exam.com/pmp-initiating-process-group.htm#.XX7kyndFxQI Page 3 of 9 Assignement-2 / Thu – 09/12/19: MIS. 683-01 –CRN-11259: CAPM : Fall-2019 This study source was downloaded by 100000773243632 from CourseHero.com on 09-24-2022 02:56:10 GMT -05:00 https://www.coursehero.com/file/49963508/Assignment-2-MIS-SOdoc/ TEXAS SOUTHERN UNIVERSITY Jesse H. Jones School of Business Justification here: B) Developing a Project Management Plan This process belongs to the Project Integration Management knowledge area. It has only one output and that is the Project Management Plan. This plan is developed by reviewing the Project Charter and outputs from several other processes, such as the Communications Management Plan and the Cost Management Plan. The Project Management Plan is used by over 20 other processes, such as Plan Schedule Management and Control Risks. Therefore, it is a critical artifact. Plan Scope Management, Collect Requirements.  Plan Scope Management: The outputs of this process are Scope Management Plan and Requirements Management Plan. The Scope Management Plan describes how the scope is defined, validated, and controlled.  Collect Requirements: The outputs to this process are the Requirements Traceability Matrix and the Requirements Documentation. Significant effort is expended in understanding the stakeholder expectations and needs. Some of the techniques used include prototyping, interviewing, and group creativity techniques, such as brainstorming. https://www.brighthubpm.com/project-planning/1673-moving-into-the-project-planningstage/ Page 4 of 9 Assignement-2 / Thu – 09/12/19: MIS. 683-01 –CRN-11259: CAPM : Fall-2019 This study source was downloaded by 100000773243632 from CourseHero.com on 09-24-2022 02:56:10 GMT -05:00 https://www.coursehero.com/file/49963508/Assignment-2-MIS-SOdoc/ TEXAS SOUTHERN UNIVERSITY Jesse H. Jones School of Business Justification here: c) A project is successful when it achieves its objectives and meets or exceeds the expectations of the stakeholders. But who are the stakeholders? Stakeholders are individuals who either care about or have a vested interest in your project. They are the people who are actively involved with the work of the project or have something to either gain or lose as a result of the project. When you manage a project to add lanes to a highway, motorists are stakeholders who are positively affected. However, you negatively affect residents who live near the highway during your project (with construction noise) and after your project with far-reaching implications (increased traffic noise and pollution). A stakeholder can influence the success and failure of the project. To note down the information about the stakeholder, a Stakeholder Register is used. The stakeholder register will have information like  Type of stakeholder  Expectation of stakeholder  Role in Project (Business Analyst, Tech architect, Client PM)  Designation (Director, Business Lead, etc.)  Type Communication (Weekly/Monthly)  Influence on the project (Partial/Supportive/Influence) [Show More]
