1.1(a) briefly describe what an RFP is (2 marks).
-Request for proposal (RFP) refers to a document that solicits potential consultants
or vendors to submit proposals and bids for proposed work. The purpose of a
request for proposal (RFP) is for organisations to get proposals from vendors for
solutions that will meet the particular need of the organization. Depending on the
nature of the project, the proposal can be lengthy or very brief.
(b) Provide five items that Hardware Mecca should have included in the
document that they had to prepare about their company (use information from
the case study to briefly describe some of these items (5 marks – ½ marks are
allocated in this question).
- Mecca hardware should have included an introduction of the organisation and its
mission. Included in this section will be information about the products and services
that they offer and also perhaps their track record (Hardware Mecca sells hardwarerelated equipment, hardware, paint, basic building material and related products to
several retail companies). Highlight any special recognitions, technical capabilities
and qualifications that may differentiate their company from competitors and make
their company an ideal fit. This usually represents the first stage of the procurement
process.
-Describe their proposed terms and timeline in detail. Specify how they plan to
satisfy the requirements and objectives outlined in the RFP. In this regards, the
vendor should specify this clearly.
-Include pricing information. Pricing is usually determined by their cost plus how
much profit margin they expect to earn. Before they set their price, it pays to
research how similar products or services in their industry are priced so that they can
be competitive.
-The authorised signature and contact details will also be included, as well as
procedures to follow if the particular proposal is accepted.
-Data analysis and relevant statistics should be included, and facts and figures
should be included as far as possible. In some cases it might require some additional
research by the vendor, as this will enable them to answer particular questions. The
organisation producing the RFP should indicate clearly what the procedure is to
follow. Organisations which set out an RFP document should preferably include
information for the bidders regarding requests for additional information.
