6. Why are problem-solving meetings conducted, who should call such meetings, and what approach should be followed? Project teams typically conduct problem-solving meetings whenever there is a pote ... ntial problem or current problem that occurs on the project. The project manager does not need to be the one to call the meeting; any team member who identifies a problem should call the meeting. However, it is important for the project manager and the team to establish guidelines ahead of time for conducting these meetings. There is a 9 step approach that teams should follow when conducting problem-solving meetings. The first step is to identify the problem in a statement (Gido & Clements, 2015). According to Larry Prevost (2008) after identifying the problem, then it is important to verify that everyone on the team understands the problem, and bring everyone into the same mindset. The next step is to “identify potential causes of the problem” (Gido & Clements, 2015, p. 407). The group may need to brainstorm to find the cause of the problem and also gather data to help verify the causes of the problem, but it is necessary for the group to acknowledge and take ownership of the problem (Prevost, 2008). After identifying the causes, the team should next identify potential solutions. All the team members should work together to provide possible solutions with evidence for each solution. After identifying potential solutions, the team should then evaluate potential solutions and determine the best solution (Gido & Clements, 2015). Calling for a vote is a very effective way to reach a decision on which solution to use. However, it is also important to have an open environment that encourages both the minority and majority voices to be heard (Prevost, 2008). After a solution is reached, the next step is to make changes to the project plan that reflect the solution. Then the team will implement the solution, and then meet to determine if the solution is working or if the problem has not been solved yet (Gido & Clements, 2015). 8. What should be done before a meeting to properly prepare for the meeting and what should be done during a meeting to ensure that the meeting will be effective? When preparing for a meeting, there are several tips in order to properly prepare for that meeting to ensure that the meeting will be effective.
