1. Faculty member submits a textbook adoption request about 2 months before the
beginning of each semester.
2. Store manager decides on the number of copies to be ordered for each
textbook in the adoption request based on history of books sales and books in stock.
3. Store assistant prepares a request for quotation for a book if he/she finds that there
is no valid quotation and sends it by email/fax to its publisher
4. Store manager receives response for the quotation from the publisher.
5. Store manager decides the number of copies to be ordered for each book from a
publisher and sends the purchase order to the publisher.
6. Store assistant receives delivery of books and verifies the contents against the
corresponding purchase orders
7. Sales person at the sales counter sells books to customers and collects payments
by cash or credit card.
8. Store manager prepares management reports such as sales reports for every
year, every month, and every week for the management, and reports for individual
course textbook sales for each semester.
9. Customer searches for books on the shelf, or asks the help from the sales person
who uses an in-store search the available stock on the computer.
Problems and opportunities
1. Lots of manual activities and paper work in daily operations and it is suggested
to boost efficiency by automating activities such sending and receiving quotations,
and preparing purchase orders.
2. Predicting demand for textbooks is difficult. System should allow students to
preorder textbooks or employ forecasting techniques that make use of historical
data.
3. No personalized customer service and it is suggested to enhance customer service
level by providing membership scheme, customized promotion and loyalty rewarding
scheme.
